We may collect and process: identity data (name, date of birth, gender, nationality); contact data (address, phone, email); housing and support data (housing history, referral information, support needs); financial data (benefits, payment information); special category data (medical or mental health information where relevant to support); communication records; and CCTV data at our properties. We collect data directly from residents and referrers, and occasionally from third-party agencies such as local authorities or NHS services.

3. Why we use your data (lawful basis)

We process personal data to: deliver housing and support services (contract / legitimate interests); comply with legal and regulatory obligations (legal obligation); process professional referrals and conduct initial assessments (legitimate interests); manage tenancy agreements and payments (contract); safeguard residents and respond to safeguarding concerns (vital interests / legal obligation); and communicate with residents, referrers, and partner agencies. Where we process special category data, we rely on substantial public interest or explicit consent.

4. Who we share your data with

We may share personal data with: Registered Providers we partner with for housing management; Birmingham City Council and other local authorities; NHS and health services where relevant to your care; probation, courts, or police where legally required; and third-party IT and software providers who support our operations, under appropriate data processing agreements. We do not sell personal data or share it for marketing purposes.

5. How long we keep your data

Resident and tenancy records are retained for 7 years after a tenancy ends. Referral records for unsuccessful referrals are held for 12 months. Financial records are kept for 6 years. Safeguarding records are retained indefinitely where required by law. After these periods, personal data is securely deleted.

6. Your rights under UK GDPR

You have the right to: access your personal data (subject access request); correct inaccurate data; request erasure ('right to be forgotten'); object to processing; restrict processing; and data portability.
